Position Overview:

The Reservations Manager is responsible for overseeing and managing all aspects of the reservations department in a hotel. This role ensures the seamless operation of reservations, delivering exceptional customer service, optimizing room sales, and maintaining accurate records. The Reservations Manager collaborates closely with the sales, front office, and revenue management teams to achieve business objectives.

Key Responsibilities:

Reservation Management:

  • Supervise the daily operations of the reservations department to ensure efficiency and accuracy.
  • Process guest reservations via telephone, email, online booking platforms, and in-person requests.
  • Maintain and update the hotel’s reservation system with accurate and up-to-date information.

Revenue Optimization:

  • Work closely with the Revenue Manager to optimize room inventory and pricing strategies.
  • Monitor room availability and maximize occupancy rates by implementing effective yield management techniques.
  • Identify and report trends in bookings to adjust strategies as needed.

Guest Relations:

  • Provide exceptional customer service to guests, addressing inquiries and resolving issues promptly.
  • Train and guide the team in delivering personalized booking experiences for guests.
  • Handle VIP and group reservations, ensuring special requests are met.

Team Leadership:

  • Recruit, train, and manage the reservations team.
  • Conduct performance evaluations and provide constructive feedback.
  • Foster a collaborative and positive work environment.

Collaboration and Reporting:

  • Coordinate with other departments such as Sales, Front Office, and Marketing to ensure alignment of goals.
  • Prepare reports on reservation trends, occupancy forecasts, and departmental performance.

System Management:

  • Ensure the seamless operation of the Property Management System (PMS) and other reservation-related software.
  • Regularly review and update the hotel’s online presence across third-party booking platforms.

Qualifications and Skills:

  • Bachelor’s degree in Hospitality Management, Business Administration, or a related field (preferred).
  • Proven experience in reservations or front office roles, with at least 2-3 years in a supervisory position.
  • Strong knowledge of hotel reservation systems (e.g., Opera, Protel, or similar).
  • Excellent communication, organizational, and problem-solving skills.
  • Leadership abilities with experience in team management.
  • Analytical mindset for revenue and data interpretation.
  • Proficiency in MS Office and hotel management software.
