Job Summary:
We are looking for a reliable and organized Secretary to support the administrative functions within our engineering company. The ideal candidate will have strong communication skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment. The Secretary will be responsible for providing administrative support to the team, handling correspondence, managing schedules, and ensuring the smooth running of office operations.
Key Responsibilities:
- Answering phone calls, emails, and handling correspondence on behalf of the engineering team.
- Scheduling and coordinating meetings, appointments, and travel arrangements for management.
- Maintaining filing systems, both digital and physical, ensuring all documents are organized and easily accessible.
- Preparing and editing documents, reports, and presentations.
- Assisting with project-related administrative tasks, including document control and preparing meeting minutes.
- Managing office supplies and maintaining inventory.
- Handling confidential information with discretion and professionalism.
- Providing general office support and assisting with various tasks as needed by the engineering team.
- Ensuring the office is clean, organized, and equipped with necessary materials.
- Coordinating with clients, vendors, and other stakeholders as necessary.
Qualifications and Requirements:
- Proven experience as a Secretary or in a similar administrative role.
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
- Excellent communication and interpersonal skills.
- Strong organizational and time-management abilities.
- Ability to work independently and in a team environment.
- High level of professionalism and confidentiality.
- Prior experience in an engineering or technical company is preferred.
- High school diploma or equivalent; additional certification in Office Administration is a plus.
Working Conditions:
- Full-time position.
- 6 days/week – 8:00 AM – 6:00 PM
